The Office Assistant plays a crucial role in ensuring the smooth operation of our office by providing comprehensive administrative and event support. This position involves a variety of tasks, including office coordination, inventory management, event assistance, and special project support for the President.
Office Support:
- Reception Duties: Manage inbound and outbound calls, greet visitors, and direct them appropriately.
- Database Management: Enter and update event attendee information in the database; print attendee lists as needed.
- Inventory Management: Monitor and maintain inventory of kitchen, cleaning, and office supplies; place orders as necessary.
- Mail and Postage: Handle incoming and outgoing mail, including postage and invoicing.
- Supply Coordination: Ensure the chamber refrigerator is stocked with water; maintain and organize the supply/storage room.
- Marketing Materials: Print marketing materials as required.
- Special Projects: Assist the President with special projects and filing tasks.
- Partner and Sponsor Coordination: Following up with partners and sponsors for attendee information and donations
- Catering and Logistics: Pick up food from caterers and assist in the coordination of Leadership Sarpy activities and events.
- Event Team Assistance: Support events such as cookie drops, membership drives, and the Golden Ticket program.
- Donation Coordination: Assist in major events with donation coordination.
- Additional Duties: Perform other duties as assigned to support event success.
- High school diploma or equivalent required; additional education or certification in office administration is a plus.
- Proven experience in an administrative role or similar position is preferred.
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite and familiarity with office equipment.
- Ability to handle multiple tasks simultaneously and work under pressure.
- Must have a reliable vehicle for errands and event-related tasks.

- Benefits: Reimbursement for mileage incurred during work-related travel, earned paid time off, insurance for full-time employment.
- Work Hours: Monday – Thursday 8:30am-5:00pm, Fridays 8:30am-4:00pm. Two annual events will run into the evening.
- Wage: $16.00-$20.00/per hour.
